Lethbridge Animal Clinic (LAC) is a beef cattle veterinary clinic in southern Alberta that also delivers Feedlot Health services to LAC clients.

The following job description makes up one position which is covered by a split role. The specific duties vs. the shared responsibilities will be clarified to the candidate in the interview process.

Reporting to the Lethbridge Animal Clinic (LAC) Veterinary Team Lead, this role is an in-office position located in Lethbridge, AB.  As Veterinary Administrative Supervisor, you will coordinate and provide support to the LAC Veterinary Team Lead with daily office management and customer care. You will foster a positive work environment and contribute to the overall team morale by having the following approach:

  • Lead with an open-door policy for all team members. By promoting a healthy and professional communication style, you will be instrumental in encouraging cooperation and healthy work relationships amongst the team.

  • You will foster a supportive work culture by way of leading by example and jumping in to help during busy periods.

Maintenance of facility and equipment / Health and Safety

  • Manage all aspects of the workplace’s health and safety program with compliance objectives including the organization’s COVID19 safety protocols
  • LAC: Manage security system and alarms such as ensure quarterly inspections are performed and any issues are rectified. Ensure the facility exterior is maintained including snow removal and sidewalk de-icing
  • Southern Alberta Vet Services (SAVS): Ensure warehouse inspections are performed and any issues rectified, including the forklift, coolers and air/heating system are maintained and in working condition.
  • Manage the company truck fleet and vet box maintenance with ongoing repairs and inspections, insurance claims as well as quarterly and annual maintenance

Employee recruitment, training, and support

  • Oversee recruitment responsibilities including facilitating interviews, onboarding new hires with their workstation arrangements, training of internal processes and software, etc.
  • Assist employees with internal processes such as WCB and disability claims, job grant applications, payroll (timesheet submission, sick day/vacation, and stat day recording), training and ad hoc requests on behalf of the Human Resources department.
  • IT support and new software training for Outlook, MS Teams, and Google Workspace
  • Provide ongoing support to the 4 members of warehouse and reception team

Customer Service and Support / Accounting

  • Communicate with clients and staff in a courteous and professional manner. Maintain practice philosophy of attracting new clients and retaining existing clients
  • Answer incoming phone calls on busy switchboard, relay messages and information accurately, with follow-ups as required.
  • Ensure client needs are met in all facets, including resolving clients’ issues for both LAC and SAVS
  • Oversee updates to clinic services pricing
  • Take product orders via phone or walk-in and fulfill orders as required (picking and packing)
  • Manage accounts payables activities including invoicing, reporting, and reconciliations
  • Inventory Management
  • Receiving incoming shipments
  • PO receiving in accounting program (Great Plains)
  • maintenance of back orders
  • transfers between satellite clinics
  • Maintenance of special orders and returns/damaged product
  • Rectify vendor issues and discrepancies
  • oversee inventory counts

Miscellaneous

  • Plan and execute all internal employee events including holiday celebrations, onsite and offsite special events to promote employee morale and celebrate staff achievements
  • Facilitate regular staff meetings, provide meeting agenda, and record meeting minutes
  • Maintain LAC website so that the information is accurate and updated

Qualifications:

  • Previous, relevant experience working in a cross-function role which required excellent time management and organizational skills
  • Previous experience working in a veterinary clinic considered an asset
  • Previous experience working with inventory management considered an asset
  • Management experience in a team-oriented workplace preferred
  • Experience working in Microsoft Dynamics Great Plains Accounting Software would be considered an asset
  • Strong oral and written communication skills including interpersonal communication
  • Professional, responsive, and positive work attitude is essential
  • Ability to work efficiently, independently or as part of a team
  • Proven ability to analyze issues, exercise good judgment and proactively respond to requests
